Edit Test Record

The Test Record has now been created.  Notice that VSPS automatically populated a field called Serial #/Test Record, this number is exclusive and only associated with this test record.  Now you have the functionality to add or edit specimens to this test record.

 

NOTES:

To edit a test record:

  1. On the VSPS Home page, log on to VSPS.

  2. From the left menu, select Labs.  The Labs Module displays.

  3. Select Find Test Records.  The Search Test Records Criteria page displays. Enter your search criteria and click (Search).  When you locate the test record to edit, click on [Edit] under the Action column.  You can now edit a test record.

  1. The Test Record Data is displayed.  In the "I want to...." section you can begin to add specimens to the Test Record.  From the Select Action drop-down menu, select the action and click (Submit). The values listed in the Select Action menu will change depending on species and if the animal is a single animal or a group of animals.

  2. The first step is to add animals to the Test Record , so from the Select Action drop-down select one of the following:  

  1. Choose animal being tested from Business Profile and click (Apply).  This function should be used if the animal is already in your Animal Book.  Enter the Search criteria to find the correct animal or animals from which you have attained a specimen to add to this Test Record.

  2. Define New Animal for testing, you are prompted to define if this is an Individual or a Group of animals and click (Submit).  The Create Animal page displays. The animals from which you have attained a specimen display at the bottom of the Test Record page.

  1. If the animal you are wanting to add a specimen for is not in your Animal Book and you anticipate having future work with this animal you will want to save this Test Record now, create the animal through Business Profile and return to this Test Record and add the animals' specimen.

  2. You can create an individual animal that is not in your Animal Book if you anticipate not having a history with this animal.

  3. You can create a group of animals (except equine).  The intended use of this option is for shipping a herd and there is no anticipation of having a history with this herd.

NOTE:  After you Submit the Test Record you still have access to the animals you have listed, but they will be "view" only and the contact and location information will not display, you must refer to the Test Record for this information.

  1. Generate Specimen Numbers.  

  2. If your specimen tube numbers are not in direct order you will need to enter them individually under the Specimen Tube # column.

  3. If your specimen tube numbers are in direct order select Generate specimen numbers from the Select Action drop-down, enter the starting number and which specimens this applies to by checking each box next to the specimen under the Select column.  If the start number applies to all specimens, check the box for Select All.

  1. Age.  VSPS calculates the age for each animal based on their date of birth if saved in the Animal Book.

  2. If the date-of-birth is not saved with the animal you will need to enter the age.  There are several ways to do this:

  1. Under the Age column, enter the age and unit value.  If you do not know the age of this animal you can enter a maximum age guess.

  2. From the drop-down menu, select Set MIN Ages on Selected Animals enter the values, click (Submit) and then select Set MAX Ages on Selected Animals enter the values, click (Submit).  The Set MIN Ages on Selected Animals function only applies if this is a group specimen.  

  3. If you prefer to see the age in hours, days, weeks, months or years, insert a check in the box under the Select column and use the Set MAX Ages on Selected Animals enter the values and click (Apply).  

  4. If you want to make this change to all of the specimens listed, check the (Select All) box, if you want changes made to just a few, put a check in the box to the left of the just those animals.

  1. Date Sampled.  

  2. If all of your samples were attained on the same day:

  1. From the Select Action drop-down select Set date sampled on selected specimen(s).  

  2. Click calendar.gif, select the date.

  3. Insert a check in the box under the Select column for each specimen to apply this date.  If this date applies to all of the specimens listed, check the (Select All) box.

  4. Click (Apply).

  1. Select one of the following:

  2. (Continue) - Migrates to selecting the Lab you want to send your specimens to and submitting your Lab Request.

  3. (Void) - Will completely void this Test Record.

  4. (Save) - Save your entries and return to complete at another time.

  5. (Cancel) - Click this button to return to the Labs Module.

  6. (Show VS 10-11) - Displays the EIA.

  1. Results Processing.  Indicate how and where this specimen has or will be submitted:

  2. Electronic - Click the radio button to select an electronic submission of the Test Record Request.  By choosing electronic you will need to select the on-line Laboratory that you will send your specimens to:

NOTE:  If you use the same laboratory consistently, you can opt to set the laboratory as your preference.  To do this, go to Personal Profile and then click Preferences and save the laboratory of your choosing.  You can always over-ride this selection by clicking search.gif here and selecting a different laboratory.

  1. Process Electronically - Submits your Lab Request electronically to the specified Laboratory.  

  2. Void - Click this button to void this test record.

  3. Cancel - Click this button to return to the Labs Module.

  4. Show VS (Form #) - Depending on species and test requested the appropriate form will display with the data entered to this point.

  1. Enter Results Manually - Brings up Test Record Request so you can enter the results manually.

  2. Void - Click this button to void this test record.

  3. Cancel - Click this button to return to the Labs Module.

  4. Show VS (Form #) - Depending on species and test requested the appropriate form will display with the data entered to this point.

Completing the Test Record.  The roles of Veterinarian Assistant and Veterinarian will need to complete the Test Record if they chose "Paper" for their results processing on the previous screen.  The role of Lab Tech will need to complete the Test Record if the Lab Request is for "Electronic".
